Privacy Policy

This Privacy Policy describes how Smart Inspect ("we", "our", or "the service") collects, uses, and protects information when you use our web application. We keep this simple and direct.

1. What we collect

When you create an account, we collect:

  • Your name, email address, and password (stored as a secure hash)
  • Optional: company name, role, and phone number
  • The date and time you accepted our Terms of Service
  • Your last login time

When you use the inspection form, we store:

  • The answers you enter (project details, inspection findings, risk assessments)
  • Photos you upload for defect documentation
  • Generated PDF report files

We do not collect payment information (no billing system is active).

2. How we use your data

  • To authenticate your account and secure access to your reports
  • To generate and store your inspection PDF reports
  • To send account-related emails (verification, password reset)
  • To improve the service based on usage patterns (aggregated, not individual)

We do not sell your data. We do not share it with third parties for marketing.

3. Data storage and security

Your data is stored on servers hosted in the cloud (currently Railway.app infrastructure). Passwords are hashed using bcrypt and never stored in plain text. Report files and photos are stored on the server filesystem and are only accessible to the account that created them.

We use HTTPS for all connections. Sessions are protected with secure, HTTP-only cookies.

4. Data retention

We retain your data as long as your account is active. If you delete your account, we deactivate it immediately. Residual report files may remain on the server for a short period. Contact us to request complete data erasure.

5. Your rights

You can at any time:

  • Access and update your profile information from the account settings page
  • Export all your data in JSON format from the account settings page
  • Delete your account from the account settings page
  • Request complete data erasure by contacting us
